Electronic invoicing, or e-invoicing, involves the creation and exchange of invoices in a structured digital format that can be automatically processed and verified by accounting systems and tax authorities. Although South Africa has not yet confirmed a full implementation timeline, adoption is accelerating globally, prompting businesses to start preparing earlier.

“Electronic invoicing is becoming the global standard for VAT administration and South Africa is moving in the same direction,” says Damien Baker, acting head of VAT. cloud accounting In OCFO. “We are seeing a clear increase in demand from businesses who want to understand what this means for them and how to prepare in a practical way.”

According to OCFO, the expansion of its support offering is a response to growing customer demand for practical implementation guidance rather than high-level advice.

“In many cases, businesses know change is coming, but they're unsure where to start,” says Baker. “Our approach is to work through their existing systems, identify gaps, and implement solutions that will support structured digital invoicing and future compliance requirements.”

The transition to e-invoicing is part of a broader global trend aimed at improving VAT collection, reducing fraud and increasing transparency in financial reporting.

“In countries where e-invoicing has been implemented, tax authorities are able to verify transactions more efficiently,” says Baker. “At the same time, businesses benefit from improved accuracy, better record keeping and greater visibility over their financial data.”

OCFO notes that while many organizations have already adopted cloud-based accounting platforms such as Xero, Sage or QuickBooks, others still rely on manual processes or legacy systems that may require significant upgrades.

“Businesses that take a proactive approach now will be in a much better position when the implementation timeline is formalized,” says Baker. “Delaying these decisions may create unnecessary pressure later.”

The firm says the move towards digital invoicing should not be seen simply as a compliance exercise, but as an opportunity to strengthen financial management practices.

“When financial data is structured and processed digitally, it creates a much clearer picture of business performance,” says Baker. “That insight becomes incredibly valuable for decision making and long-term planning.”

As part of this expanded focus, OCFO is inviting businesses to engage with their CFOs and cloud accounting teams to assess their readiness for electronic VAT invoicing and begin the transition towards modern, compliant systems.

“Digital tax systems are becoming the norm globally,” says Baker. “Businesses that act quickly will not only meet compliance requirements but also create more efficient and flexible financial operations.”
